You could be our next Sr Facilities Coordinator! In this role, you will organize and supervise all of the administrative activities that ensure the smooth running of Vistaprint´s Barcelona office.


You will work as part of a team to help deliver the facilities department’s objectives working alongside a Facilities Coordinator. In your role, you will be part of a team and a reference to employees and stakeholders alike.  If you’re a dynamic, outgoing individual who’s fluent in Spanish and English then this could be a great opportunity for you.


Your role will involve:


Health & Safety:

  • Collaborating with our Health & Safety partner to ensure the highest level of Health & Safety standards are in place
  • On boarding new hires on health and safety best practices and facilities available to them throughout the Barcelona office. 
  • Taking ownership and accountability of health and safety training, managing the emergency team and creating awareness in the office


  • Initiating and negotiating vendor service contracts and RFP processes, including obtaining vendor price quotes, preparing contracts and purchase orders, reviewing and approving invoices.
  • In collaboration with Facilities and the Accounts team tracking expenses to ensure on track budgeting for the fiscal year

General office management:

  • Overseeing property management services including: the maintenance of building and mechanical systems, janitorial service and supplies in a demanding environment that requires the highest level of service delivery.
  • Working with a variety of vendors such as furniture, food services, office equipment, security, maintenance and others to obtain services required to maintain our facilities in outstanding condition.
  • Planning and managing the delivery of daily office activities, programs, and service objectives in collaboration with functional teams.
  • Managing outsourced facilities services vendor; ensuring best practices are being used and implemented.
  • Owning office floor plans and coordinating office and cube moves
  • Initiating and supporting the organization of out of hours’ events and participating in Ad hoc projects such as CSR and environmental initiatives. 
  • Collaborate with the Facilities team to deliver employee and visitors services to create a best place to work maintaining office standards and an office hub for our internal stakeholders
  • Communicating with key stakeholders on a number of day to day matters
  • Updating and creating internal coms

In return you will bring:

  • 3-5 years of experience as an Office / Facilities Coordinator in a fast-paced environment
  • Fluency in Spanish and English
  • Flexibility to be available 24/7 in the occasion there should be an office relating emergency out of normal office hours.
  • Ability to implement and manage processes and procedures in an evolving environment
  • Ability to think "out of the box" and bring creative, nonstandard, and innovative solutions to the table. Meet deadlines and make sound decisions, sometimes under stress
  • Excellent customer service and people skills and ability to communicate effectively in written format and oral presentations
  • Knowledge of Spanish Health and Safety regulations preferred
  • Experience in “green” activities for office spaces, such as electricity saving and recycling, would be a plus
